Setting up your workspace
A first administrator can be live in an afternoon. This is the order we recommend, and the order the platform expects.
1. Accept your invitation
GPenda Technologies invites the first administrator by email. The link is single-use and expires; opening it lets you set a password and enrol an authenticator app. There is no self-serve signup.
2. Set your workspace identity
In Settings, confirm the workspace name and turn on only the modules you need. Modules you leave off disappear from navigation, search and the assistant for everyone.
3. Build your roles before inviting people
Start from a template (Ops, Project Manager, Field, Client) and adjust permissions. Roles decide what each person sees in every list, search result and AI answer, so get them right first.
4. Invite your team, then your clients
Invite colleagues with an internal role. Client-portal users are invited against a specific account and only ever see that account's sites, tickets, orders and documents.
5. Load your operational data
Create accounts and their sites first, then contacts, catalog items and contracts. Equipment, reagent lots and projects all hang off a site, so sites are the backbone.
6. Configure support and SLAs
Set response and resolution targets per priority, and add on-call windows so new tickets route to whoever is on duty. Countdowns and escalation follow automatically.
7. Turn on the watchers
Automation flows raise notifications and email for contract renewals, SLA breaches, calibration due dates and low stock. Review the run history in Automations after the first day.
8. Go-live checks
Confirm every account has an owner, every asset has a calibration date, MFA is enrolled for everyone with write access, and the audit trail shows your own setup activity.
